From the Open AIR homepage click the red “log in” button and enter your App State credentials. Once logged in, your ORCID iD will be automatically linked to your account, and the system will populate it with the relevant information as you upload items to the repository.
- Once logged in, you will be on your account page. To return to your account page from any page in Open AIR, click “my data” in the upper right when logged in.

Metadata

- Title: enter the title of your publication, dataset, presentation, etc.

Group: Note: Your content will automatically be assigned to the Appalachian State University group, but you’ll need to choose a more specific group. To do so, select the red Change group option, then click the gray arrow to the right of Appalachian State University to see your options. Select the appropriate group for your content and hit apply changes.
- Author: Enter the full names of author(s) of the work.
- Item Type: from the dropdown list, select the item type that most closely aligns with your content. Please note that item types are defined by Figshare and cannot be customized or revised. Choose the option that best fits your material, even if it's not an exact match.
- Keywords: enter at least one keyword that describes what the work is about (e.g., Artificial Intelligence, Covid-19, Georgian architecture, Genetics, Food insecurity, Telemedicine), not what it is (e.g., Journal Article, Podcast, White Paper, Oral history). Hit enter after each word.
- Description: Add an abstract or meaningful description of the contents of the record.
- License: Open AIR provides a list of Creative Commons licenses and other open licenses. For publications that are under publisher copyright, choose “In Copyright” from the menu. For guidance on licensing options, email Agnes Gambill, Head of Scholarly Communication.
- Year Created: Enter the year the item was created.
- Content Genre or Classification: Specify the genre or type of work.

Categories: You may apply one or more selections from the list of general research categories curated by Figshare.
- Language: Enter the primary language of the work.
- College or School: From the dropdown menu, select the college or school the author is affiliated with.
- Department: Enter the full name of the Department(s) the author(s) is affiliated with.
- Funding: If your research is funded by a grant, it can be entered here. Click “+add another grant” to add multiple sources.
- Resource Title/Resource DOI: This set of fields creates a link between a work and a related resource (e.g., a journal article and the journal). Add the publication title and DOI to these respective fields and a link to the publication will appear on the Open AIR page.
- References: Add links to related Open AIR records, project websites, study registrations, or other publications.
- Publisher Statement: Published items often require a specific statement to be included in repository metadata along with a specific version of the article. Publisher statements and policies can be found from Sherpa Romeo or on the publisher’s website’s self-archiving specification.
Additional Options
- Apply Embargo: If you need to keep your files private for a specific reason and amount of time, you can add an embargo to your record.
- Select a period of time or a specific date for the embargo to end
- Keep “on files only” checked. The descriptive metadata (title, abstract, etc.) will be public.
- Enter a reason for the embargo in the field (i.e. NDA, publisher policy, etc.).

- Generate Private Link: To share your unpublished Open AIR record with collaborators or peer reviewers, you can generate a private link. This link is temporary and should *not* be published or referenced in a final publication.
- Reserve Digital Object Identifier (DOI): If you need a DOI for your unpublished record in Open AIR, you can reserve a DOI without publishing your content. The DOI will not be a live link until after publication.
Publish Your Work
Items published in Open AIR are automatically assigned a DOI, which is discoverable through the citation link. For more information about DOIs or other persistent identifiers, email Ashlea Green, Metadata Librarian, or see this research guide on DOIs.
- You can save changes to the record in your account until you are ready to publish by clicking the “Save Changes” button at the lower right
- If everything is correct, the metadata is complete, and you are ready to make your record public, check the “Publish” box. The “save changes” button will change to “Publish Item”
- Click “Publish Item” to send the record to the review curation process.
After you submit an item for deposit, it may take several days to complete the review process. An Open AIR administrator will check your submission to verify it is complete and fits within the scope of the repository. At this stage, the Metadata Librarian may also provide digital curation measures that serve to enhance the access, discoverability, and reuse of your content. However, unless requested, we will not review the content of your submission. Either your record will be published, or we will contact you for more information.
You can make changes to your submission after it has been published. Changing the files, title, or authors will trigger a new version of the record. To learn more about Versioning, see this page (coming soon).
